Abstract Submission

Abstracts must be prepared according to the format provided. Submissions will be returned to the author if not in the correct format and must be resubmitted immediately in the correct format to be considered for inclusion in the program.

  1. The presenting author only must submit the abstract.
  2. Abstract must be typed in the Microsoft Word template provided HERE .

  4. Please copy the details of your abstract in the online form via the submission page and also upload a softcopy of your abstract in the specified Microsoft Word format on the page.
  5. The deadline for abstract submission is 1 May 2019.
  6. If you do not receive a confirmation email with a submission number confirming that your abstract was successfully uploaded, please send an email with the subject “Enquiry: Abstract submission” to.
  7. Accepted abstracts will be notified by 24 May 2019.
  8. Instructions on the preparation of poster and oral presentation will be sent to authors upon notification of the abstract’s acceptance.
  9. The presenting author will be required to register for the conference to ensure their abstract(s) are included in the final program – deadline for author registration is on 1 July 2019.
  10. Authors of accepted abstracts will be invited to submit a full paper of their work (not compulsory) at the time of the conference or soon after the conference. Selected papers will be published in the IOP Journal of Physics Conference Series ( The full paper will be peer-reviewed and if accepted are fully citable.

Proceedings Submission

Authors of accepted abstracts (oral or poster presenters) are now invited to submit their manuscript for PITFMB – SEACOMP 2019 proceedings. The submission deadline is 15 September 2019 (about 1 month after the conference).

IOP Conference Series operates a publishing licence, under which authors retain copyright of their papers and they no longer need to sign and submit copyright assignment forms. Any author who wishes to publish in IOP Conference Series must agree to the terms of the licence and by submitting a paper for publication it is assumed all authors of the paper agree, in full, to the terms of the licence. It is important to ensure that when you submit your paper, it is in its final form ready for publication, and has been thoroughly proofread. IOP do not copy edit papers and will not send out author proofs prior to publication. Please note: post-publication changes are not usually permitted, unless there are exceptional circumstances, so please ensure your paper has been checked for errors.

Specific Guidelines for the Proceedings of PITFMB-SEACOMP 2019

The manuscripts must be submitted through the online submission page as PDF file replacing the submitted abstract 

Please login to your EasyChair account to upload the full paper in the pdf format. Select  Submit a new version under the menu My Submissions or Submission #. The portal will be open until 15 September 2019. No extension will be possible.

The material must be original and generally not submitted to another journal. No dual or duplicate publication is allowed and re-use of text or images for which copyright has been assigned to or where permission has not been obtained is not permitted.

When preparing your manuscript ensure that you follow the following guidelines:

  • The manuscripts should not exceed six pages.
  • Paper size is A4. Margins are at least 25 mm all round.
  • The paper includes the author name and affiliation (full address including country). The lead author of the manuscript must be identical to the one identified in the conference abstract. Other small changes to authorship and order of authors are allowed to reflect changes since submission of the abstract.
  • There are no page numbers, or headers and footers, within the paper.
  • The PDF is free of formatting errors (e.g. corrupt equations, missing or poor resolution figures), since conversion from Word to PDF can introduce formatting errors.
  • Text is single spaced, not double spaced.
  • The PDF file is editable and not password protected.
  • All pages are portrait (landscape pages should be rotated).
  • Reference lists are checked for accuracy. References can only be linked via CrossRef if they are correct and complete.
  • Figures are placed within the text, not collected at the end of the document.
  • A thorough proof read is conducted to check standard of English and ensure wording is clear and concise.
  • Ensure that your paper includes an abstract. The abstract of 250 words or less would typically be identical to the abstract submitted to the conference. Small changes and updates are allowed.

All manuscripts submitted for the proceedings will be peer reviewed by two independent expert reviewers. The Scientific Committee of the conference will form the basis of the review team. The review team reserved the right to reject a manuscript that is poorly described and/or badly formatted.

Fees for the proceeding publication (IDR 900.000 or USD 80) should be made upon acceptance of your reviewed manuscript. Further details on the payment for publication fees will be updated with the acceptance notice.

Oral Presentation Guidelines

1. Onsite at the Congress

  • Speakers will need to register at the registration desk when they first arrive at the congress to collect their name badge and other related materials.

  • You will be directed to the Speaker Preview Room where you must upload your slides at least 2 hours prior to the scheduled presentation. Please note that it is not possible to load the presentations in the meeting rooms, they must be brought to the Speaker Preview Room to be loaded centrally.

  • Please ensure you refer the latest congress program to confirm your presentation time.

2. Presentation Time Frame

  • Each oral presentation will run for 10 minutes (8 min presentation and 2min Q&A).

  • Invited lecture is given 15 minutes (12 min presentation and 3 min Q&A). If you have a longer presentation time you will be contacted individually. Please check the latest congress program to confirm your session time.

  • Please ensure your presentation does not exceed the allocated time frame. The Session Chairs will time your presentation and give you signals 2 minutes before your time expires. It is extremely important that you run to time. Running overtime is disrespectful to other speakers and highly disruptive to delegates.

3. Your Oral Presentation

  • Please arrive at your session room at least 20 minutes before the session begins. Session chairs will need time to meet you and explain how the session will be run and to show you where to sit.

  • Please note that the official congress language is English. All presentations must be made in English.

  • 3 Best Oral Presentation Awards will be given for each proffered papers category.

4. PowerPoint Slides

  • Presentations should be supplied via a USB memory device. Our presentation system uses Microsoft Office on a Windows Operating System. The powerpoint will be projected on a 16:9 screen. You are encouraged to prepare your slides on this dimension to optimise the projection areas.

  • You may use the provided PowerPoint template to prepare your slides however it is not compulsory.

  • For speaker who uses a Mac computer, we request you to convert your slides to Windows-equivalent. If this is not possible, then you will be required to supply your own laptop and VGA connection dongle.

Poster Presentation Guidelines


1. Onsite at the Congress

  • Delegates will need to register at the registration desk when they first arrive at the congress to collect their name badge and other related materials. From there you will be directed to the respective “Poster Zone”.

  • A list of poster IDs, presenter names and titles will be available at the area. Please ensure that your poster is displayed on the correct poster board (each labelled with the assigned Poster ID). Do not place your poster in an alternate location.

2. Poster Mounting and Removal Time

  • Poster mounting and removal time will be announced prior to the Congress. Any posters remaining at the end of the session will be discarded by the Congress crews.

  • A small amount of adhesive material will be provided however we suggest that you bring your own Velcro pieces to support your poster.

3. Your Poster Presentation

  • Authors are requested to be present next to their poster during the allocated poster presentation session.

  • Please note that the official congress language is English. All presentations must be made in English.

  • 3 Best Poster Presentation Awards will be given for each proffered papers category.

4. Poster Preparation

  • The poster should be a visual presentation of your submitted abstract.

  • Posters should meet the following criteria:

  • SIZE : The dimension of the poster should be in A1 size (594 mm width x 841 mm height) and strictly limited to PORTRAIT orientation only. Any poster printed in landscape or larger than A1 size may not be displayed at the Congress.

  • TITLE : The title should reflect the content of your poster and match your abstract submission.

  • AUTHORS : Name, organisation, e-mail address of the corresponding author and the affiliations of all co-authors should appear on the poster.

  • CONTENTS : The poster should be easily readable at a distance of two metres. Use UPPER and lower case for general content as the use of all-capital text is difficult to read. Avoid using mixtures of type/font styles.
